Managed support

Google Workspace consultant

A Google Workspace consultant designs the tenant structure, tightens security configuration, rationalises licence tiers and trains the people who will run it afterwards. The work is usually two to ten days, and the durable value is the documentation and the decisions, not the console changes themselves.

What a consultant is actually for

Workspace is easy to run badly and hard to run well, because almost every important control is a default that someone has to deliberately change. A consultant is the person who has seen two hundred tenants and knows which defaults matter, which console settings interact, and which vendor recommendations are safe to ignore for an organisation of your size.

The engagements that produce most value are unglamorous: org unit structure that matches how the business actually works, licence tiers assigned by role rather than uniformly, a documented admin model with named deputies, and a security baseline that someone internal can maintain without calling us every month.

  • Tenant and org unit design that survives the next reorganisation
  • Licence tier rationalisation by role, not a blanket upgrade
  • Security baseline with a documented exception process
  • Shared drive architecture and naming that people can navigate
  • Admin runbook and internal training so you are not dependent on us

Licence rationalisation is where the money is

Most organisations buy one tier for everyone because it is administratively simple. It is also, for anything above about thirty seats, usually the most expensive option available. Frontline and archived user licences exist precisely so that not everyone needs a full knowledge-worker seat.

The exercise is straightforward: list every user, classify by what they genuinely need, and model the cost at the correct tier mix. It takes a day and, in the engagements we run, frequently identifies savings that cover the cost of the consultancy several times over in the first year alone.

Independence, and what that means commercially

Being a reseller and being an adviser are in tension. A reseller earns on licence volume, which creates an incentive to recommend more seats at higher tiers. We handle licensing where clients want a single relationship, but the advisory work is billed by the day so the recommendation is not funded by the outcome.

In practice that means we will tell you when the answer is fewer licences, when a Google product is not the right tool, and when the honest recommendation is to change nothing and spend the budget on training instead.

Knowledge transfer as the deliverable

Every engagement ends with an admin runbook written for the person who will actually do the job, and a recorded training session with your internal administrators. The runbook covers routine tasks, the escalation path, and the decisions we made with the reasoning behind them.

The decision log matters more than it sounds. In eighteen months, somebody will ask why external sharing is configured the way it is, and the difference between a documented decision and an undocumented one is the difference between a five-minute answer and a fortnight of re-litigation.

What we see that others don't say

Most Workspace tenants we are asked to review were configured once during a migration and never revisited, so the org unit structure reflects a company that no longer exists; realigning it is frequently the change that unblocks everything else.

What this doesn't cover

  • We do not provide day-to-day helpdesk support within a consultancy engagement; that is a separate managed support agreement.
  • We do not develop custom applications. Apps Script automation of admin tasks is in scope; building a line-of-business system is not.
  • We do not advise on Google Cloud Platform infrastructure. This is Workspace consultancy, and the two are different disciplines.
  • We will not recommend a licence upgrade we cannot justify against a specific requirement you have named.

Questions we get asked

What does a Google Workspace consultant cost?
Our day rate is £950 in the UK and $1,250 in the US, and a fixed five-day health check is £1,750 or $2,250. Most engagements run between two and ten days spread over four to six weeks.
Do we need a consultant if we already have an IT team?
Often yes, for a short engagement. Internal teams usually run one tenant; the value of an outside consultant is pattern recognition across many, particularly on licensing and security defaults.
Are you a Google reseller?
We handle licensing where clients want one relationship, but advisory work is billed by the day so the recommendation is independent of licence volume. We will recommend fewer seats when fewer seats is correct.
Can you work with organisations outside London?
Yes. Delivery is remote by default across the UK and US, with on-site days available in London. The work is console and documentation based, so remote delivery loses very little.
