How to export Google Workspace data
A whole-tenant export runs from the Admin console data export tool and delivers an archive to Cloud Storage, typically within 9 days for large tenants. Vault exports are the right tool for a scoped legal request, and Takeout serves one user's own data.

Pick the tool by the question you are answering
An exit from Workspace or a board-level records request calls for the tenant data export. A legal or HR matter about specific people and dates calls for Vault, because it preserves search terms, scope and chain of custody in a way a bulk archive does not.
Takeout answers the narrowest question: give one person a copy of their own material. Using it as a backup strategy is the mistake, because nothing about it is scheduled, verified or restorable.
Plan for the wait and the format
A tenant export is not immediate. Google prepares the archive and can take up to nine days at scale, so an export requested on the day of a deadline will miss it. Start it as soon as the requirement is known.
Check the delivered formats against what the recipient can actually open. Mail arrives as MBOX and Drive files in their exported equivalents, and a receiving system that expects PST will need conversion work planning in.

- Use Vault, not a bulk export, for anything with legal scope.
- Confirm the recipient can read MBOX before promising a date.
